Case Study: FileBound Aids Car Sales Process

FileBound helped Australian Fleet Sales adopt a more efficient document management process.

 

An inefficient document management process was slowing down Australian Fleet Sales, a recent FileBound case study explains. The company operates 12 sales yards that serve both individuals and businesses.

When a customer purchased a vehicle, a physical file was created. Customers who needed financing also had another file created. These files create a Deal Pack. All Deal Packs had to be sent to one of the yards that served as the main office, which processed and filed the information.

This old process created several problems for the company. It was difficult for staff to find important customer information in the Deal Packs. Secure transportation was needed to move Deal Packs from the 11 other yards to the main office. An increasing number of file cabinets holding contracts were used up valuable office space. Also, management could not check Deal Pack status reporting across all the yards.

To solve these problems, Australian Fleet Sales turned to FileBound.

Now the business can scan and upload Deal Packs into the cloud from any of the 12 yards. PSI:Capture, a document processing software, captures important index data from each file before it migrates to FileBound. Employees can complete tasks using an Internet browser or the FileBound Touch application.

Australian Fleet Sales has seen many benefits since the switch to FileBound.

  1. Customer service and staff satisfaction have increased with immediate access to information.
  2. Staff spend less time searching for specific files and documents.
  3. The time needed to file and scan documents has been cut in half thanks to FileBound.
  4. Deal Pack files are shared from each of the yards when they are created.

Allegan County, Michigan

Allegan County Michigan, located in the southwest part of lower Michigan, has 180 employees and over 114,000 citizens. Allegan County is primarily an agricultural area that is rapidly becoming urbanized as the population centers of Grand Rapids on the northeast and Kalamazoo to the southeast expand into Allegan County. The Allegan county government operates the jail, maintains rural roads, operates the major local courts, keeps files of deeds and mortgages, maintains vital records, administers public health regulations, and participates with the state in the provision of welfare and other social services. Providing all of these services created a broad demand for document management across all of these departments. 

Allegan County upgraded its existing document management system to FileBound for enterprise-wide rollout.

The Problem

The existing document management system, Documentum, provided by EMC, had been set up as a centralized scanning operation and was primarily used only by the courts due to licensing constraints. With a clear need identified by most of the departments, but a lack of funding needed to broadly deploy their existing system, the county began a search for an affordable alternative.

The Solution

FileBound provided the alternative solution the county needed to solve its dilemma. With an unlimited user licensing model, FileBound allowed Allegan County to deploy document management in all the departments that needed it. Also, they were able to leverage the distributed capture capabilities to reduce the cost of delivering documents, as well as eliminating time delays in getting documents stored on the system and available for use. They were able to use the FileBound provided, IBM AS 400 integration to improve the process that the courts used to interact with the State Judicial Information System.

FileBound has allowed Allegan County to fully implement an enterprise-wide solution that allows all the departments to have a solution specifically configured to meet their needs. This new system has reduced costs, improved access and control of critical documents, and supports increased service levels for future growth.
